Problem
A telecommunications company was transitioning to a new software solution to better equip its teams to establish appropriate roles and access within its ERP system. The company hired an external consultant to manage the technical aspects of the project and my company to facilitate communication, coordinate meetings, and support project alignment. As the project progressed, communication with the technical consultant became increasingly difficult. Messages went unanswered, key meetings were missed, and task ownership and expectations were becoming unclear.
Action
To improve communication and create greater visibility into project responsibilities, I created a shared task list in SharePoint and provided edit access to key team members, including the technical consultant. This allowed team members to update tasks asynchronously, clarify ownership, and maintain visibility into project expectations without relying solely on meetings or direct communication.
Result
The SharePoint task list established a centralized, asynchronous way for the team to manage and track project activities. It improved visibility into task ownership and expectations and gave team members a shared source of information for monitoring project responsibilities and progress.
