Problem
A multi-million-dollar building expansion project required tight coordination between two critical workstreams: construction planning and procurement. Normally, a key customer contact would oversee this integration, but due to an unexpected medical emergency, they were out on extended leave. This created a gap in communication and increased the risk of misalignment, delayed milestones, and bottlenecks in the general contractor selection process.
Action
To stabilize the project and maintain momentum, I:
- Collaborated closely with both the construction planning and procurement departments to understand all milestones, dependencies, and required preparation windows.
- Integrated both schedules into a single, unified timeline that ensured neither team was operating ahead of or behind the other.
- Facilitated recurring cross-functional meetings to maintain alignment, clarify expectations, and address timing risks early.
- Shifted focus to supporting the procurement team through their sequence of evaluation meetings, documentation reviews, and approval checkpoints.
- Managed several months of coordination and negotiation to keep activities progressing smoothly during the customer contact’s absence.
Result
With both workstreams aligned under a unified schedule, the procurement process advanced steadily and on time. The project ultimately concluded with the successful selection and award of the general contractor contract. This work reinforced my ability to integrate complex timelines, fill unexpected leadership gaps, and ensure continuity for high-stakes, multi-stakeholder initiatives.
