Problem
A simple idea—renaming conference rooms to honor company founders and leaders—quickly grew into a larger challenge: creating a meaningful appreciation experience for the management team. The plan expanded into a surprise multi-phase initiative involving video production, event coordination, and branded signage, all of which needed to be executed discreetly, on a tight timeline, and within budget.
action
I coordinated the full initiative across several work streams:
Video Production
- Partnered with internal staff and an external videographer to develop the storyboard, schedule interviews, and capture B-roll.
- Managed creative direction and provided feedback through multiple review cycles.
- Approved the final cut while ensuring the project stayed within budget.
Conference Room Signage
- Collaborated with a graphic designer to create custom signage honoring company leadership.
- Defined the scope, gathered requirements, and oversaw production and budget management.
Event Planning
- Managed logistics to ensure timing, flow, and presentation aligned with the emotional intent of the event.
- Coordinated venue selection and booking, menu planning, and guest management.
- Organized invitations to employees, managers, spouses, and corporate leadership—maintaining secrecy to protect the surprise.
result
The luncheon and tribute were a complete success. Management was genuinely surprised and deeply moved by the video montage, and the newly named rooms were well-received. The initiative strengthened morale, reinforced leadership appreciation, and showcased my ability to manage a confidential, multi-phase project from concept to delivery—balancing creativity, stakeholder coordination, logistics, and emotional impact.
